A budget checked at month end is not a control, it is a report about the past. 4expenses ties the budget to the approval flow: each expense consumes the department, project or category budget at the moment of approval, and the approver sees the percentage used before deciding. Flows are configured on amount thresholds and on hierarchy — a small expense is approved by the direct manager, a large one escalates automatically. Overruns become conscious decisions taken by a named person, instead of surprises found at close.

In an email-based process, the approver sees an amount and a name. In 4expenses they see the supporting document, the category, the project affected, how much of its budget the department has already used and whether internal policy is being met - all on a single screen, including on a phone. The practical difference is that approval stops being a reflex click and becomes a decision taken with the relevant information in plain sight, which is exactly what a working internal control is expected to deliver.

Thresholds and automatic escalation

The workflow is defined on amount thresholds: up to a certain value the direct manager approves, above it the department head is added, and above a second threshold finance sign-off is required. Escalation happens on its own, based on the amount of the expense, without the employee having to work out who to ask. When an approver is away, delegation takes over automatically, so expense reports never sit blocked.

Budgets by project and by client, not only by department

For companies that work on projects, the budget that matters is the project's, not the department's. The application supports both dimensions at once: the same expense draws on the budget of the department that bears it and on the budget of the project it is allocated to. That way you can answer both 'how much did sales spend this month?' and 'are we still within budget on project X?'.

Overruns become visible up front, not afterwards

Alerts on consumption thresholds reach the person responsible while there is still time to react. When an expense would exceed the budget, the approver sees it stated explicitly and either rejects it or approves it deliberately, with a justification that stays in the log. At the end-of-period review, every overrun already has a reason attached and a name next to it.

Can I have different approval workflows per department?

Yes. Workflows are defined by department, by expense category and by amount thresholds, and one company can run several configurations at the same time.

What happens when the approver is on holiday?

Approval is delegated automatically for the period of absence, to the designated person. Expense reports are not blocked, and the log shows who actually approved, acting as delegate.

Is the budget consumed when the report is created or when it is approved?

On approval, because only then does the expense become a firm commitment. Pending reports are still shown separately, as a potential amount, so there are no surprises.

Can expenses be approved from a phone?

Yes, with the supporting document and the budget position displayed on the same screen, so that a fast approval does not mean an approval without information.

Is there an audit trail for approvals?

Yes. The system keeps who approved, when, for what amount and with what information displayed at that moment, including the justification in the case of ceiling overruns.
